Payroll

Monthly runs, proration, TDS, part payments and salary owed.

Payroll lives on the Payroll tab of Books. There is one run per month, with a line for each person paid that month — staff and directors alike.

A run

  • Confirm the month’s working days first: every line’s gross is prorated on it.
  • Each line carries the monthly pay, the days paid, and the tax deducted. The person’s engagement class decides the TDS section — an employee and a contractor on the same money withhold differently.
  • Record the TDS you actually withheld. If nothing was withheld, enter nothing.
  • Provident fund, ESI and professional tax are recorded as deductions you enter; they are not calculated for you.

Paying in parts

Pay can be settled in one go or in parts. Each payment records how much went to each person; the run shows as part paid until every line is settled, and what is still owed stays visible per person. Paying more than is owed records the difference as a salary advance.

Adding a person to a run that is already part paid keeps every payment already made. A line that has been paid cannot be changed silently — Cortex refuses rather than rewrite a settled amount.

People

Each person has a role, an engagement class and joining and leaving dates. Leavers stay on the record with the date they left, so past runs and year totals remain correct.

Where payroll shows up

  • Statements — salaries in the profit and loss; salary owed on the balance sheet.
  • Banking — each payment is matched to its bank line.
  • Dashboards — payroll cost, paid and owed, after Update dashboards.
  • AI offices — the CFO, CEO, Controller and CHRO read payroll totals per month and per person.
